Where HOSS uses AI
- Booking emails
- Emails opened in the mail inbox or the Outlook add-in are read, attachments included, into draft jobs for your team to review.
- Booking import
- A pasted booking or uploaded PDF is read into the new job form.
- POD check
- Every proof of delivery is checked on upload for legibility, a signature and a printed name, with damage or a refusal flagged.
- Fuel receipts
- Drivers photograph a receipt and HOSS reads the station, date, odometer, registration and fuel lines.
- Supplier invoices
- Fuel invoices and maintenance receipts are read into vehicle costs for review.
How it is handled
- People decide
- Drafts and imported costs are reviewed before they are saved, and the POD check warns the driver without blocking a delivery.
- Switch it off
- AI email reading can be switched off for the whole organisation in Settings.
- Your data
- Processed by Anthropic under commercial terms that do not allow it to be used to train AI models.
- Clear limits
- HOSS does not use AI to plan your work or to make decisions on your behalf.
