No. Delivered jobs wait in the ready-to-invoice list, and your office creates the invoice, usually with a single click.

Does HOSS work with QuickBooks or Sage?

Not at present. HOSS integrates with Xero.

Are invoices approved in Xero automatically?

No. They arrive in Xero as drafts, ready for your accounts team. Payments recorded in Xero then synchronise back to HOSS.

Can waiting time be charged?

Yes. Record it on the job and add it to the invoice. HOSS flags stops that waited beyond your allowance so it is not missed.

From delivery to invoice

Ready to invoice: Delivered jobs with a POD and no invoice yet, grouped by customer with totals.
One invoice for many jobs: Combine several jobs for one customer into a single invoice. A job can never be invoiced twice.
Charges: Quick-add fuel surcharges, waiting time, rebooking fees, overnight charges, tolls, ULEZ, demurrage and additional drops, as fixed amounts, quantities or percentages.
Waiting time: Record waiting time on the job. Stops that waited beyond your allowance are flagged so the charge is not missed.
Layouts: Simple or custom line layouts, set for the organisation or for each customer.
Payment terms: Per customer, from the invoice date or the end of the month.

Sending and tracking

Email with PODs: Invoices are emailed with the PDF and the PODs attached, with replies coming to your office.
Status: Unsent, sent, overdue, paid and cancelled, at a glance.
Paperwork pack: The invoice, job sheet and PODs printed together.
Work invoiced elsewhere: Mark jobs as invoiced outside HOSS, with the invoice number and a copy attached.

Xero

Individual or batch export: Send invoices to Xero one at a time or in a batch, or merge several into one Xero invoice.
PODs online: PODs and job images are attached to the Xero invoice so your customer sees them online.
Customer matching: Match each customer to their Xero contact once; HOSS remembers it.
Synchronised every five minutes: Payments, voids and deletions made in Xero come back to HOSS automatically. Invoices arrive in Xero as drafts for your accounts team.
