How it works

From your office to the subcontractor’s driver

    Maintain your subcontractor records

    A record for each haulier you work with, including multiple contacts and their roles, internal notes, payment terms and active status.

    Mark the job as subcontracted

    Select the subcontractor, enter the agreed rate and add internal notes. The job is identified as subcontracted throughout HOSS.

    Send the job sheet

    A PDF carrying your logo, with the stops and time windows, the agreed rate, load details, driver instructions, POD requirements and a link to update the job. Your own terms and conditions can be added as a second page.

    The subcontractor updates the job online

    The link opens a page under your company name, with no login or app required. For each stop, the subcontractor can send an ETA, confirm arrival and departure, add any required photos, upload the POD or report a problem.

    Or send the job directly to their driver

    Either office can send the job to the subcontractor’s driver by text message. The driver follows the same step-by-step process as your own drivers, and each update records a location on the job.

    Communicate in one place

    Your office, the subcontractor’s office and their driver share a single conversation on the job, with new messages notified in HOSS and on your mobile.

The customer price, the subcontract rate and the resulting margin, calculated for you.
Margin on the job
The job page shows the customer price, the subcontractor, the subcontract rate and your profit with its margin. Once invoiced, the figures update to the invoiced amount.
Margin on the planning board
Subcontracted work appears in its own row on the planning board. Hovering over a job shows its price, subcontract rate and profit, and daily totals reflect profit rather than gross revenue.
Subcontractor invoices
Record each subcontractor invoice against its job, including the invoice number, dates, net amount, VAT, the PDF and payment status. The due date is calculated from the subcontractor’s payment terms.
Invoice status at a glance
On the jobs list and the planning board, separate markers show the status of your customer invoice and the subcontractor’s invoice.

Capacity beyond your own fleet

Subcontract adverts
Select a date range, choose the unassigned loads to offer and set a rate for each. HOSS emails your haulier contacts a branded summary of routes, dates and rates, and hauliers respond by email to take a load.
Consent management
Each contact holds a consent record, sole traders require explicit consent, and every advert includes a one-click unsubscribe. Up to three adverts can be sent each day.
Courier Exchange loads
Courier Exchange “Allocate This Load” emails are recognised automatically, or can be pasted in, and converted into jobs with the reference, price, pallets and weight.
Permissions
Separate permissions control who can manage subcontractors, send job sheets, revoke links, send adverts, and record or delete subcontractor invoices.
